User Responsibilities for Unclassified Video Conference
Systems
The video conference units are for unclassifed
and unclassified controlled use only. It is the user's responsibility
to ensure the use of this system does not compromise or provide
unauthorized access to Unclassified Controlled Nuclear Information
(UCNI).
In order to meet this requirement, you must observe
the following measures:

Prior to connection of a videoconference, announce
to others in the area that a videoconference is in progress
and only unclassified information may be displayed or discussed
in the room.

Close doors to the area where the videoconference
equipment is located to prevent transmission of classified/UCNI
information and a noise nuisance for others in the area.

Ensure that no classified/UCNI documents or
material are visible within the visual coverage area of the
camera.

Keep the microphone muted unless someone in
the room needs to speak. This will minimize distracting noises
for participants at the other site(s).

Adjust the volume level
on the remote control to the lowest sound level practical for
the conduct of the videoconference.

At the conclusion of
a videoconference session, the user must complete a Hangup procedure
as outlined in the quick reference guide to terminate the videoconference.

If classified or UCNI
information is to be discussed in the room prior to or after
the videoconference, the User has the responsibility to secure
the room by disabling the videoconference system. Many rooms
have security boses installed with a key switch to disable
the unit. If no box has been installed in the room, you must
unplug the phone lines to the telephone and the videoconference
unit,
and
power
off
the videoconference unit.

If during a videoconference
session, a security issue is discovered, the Responsible User
will terminate the session. Immediately call the NM Security
Incident Management Program (SIMP) pager at 540-2382 or the
CA Security Department 294-3238 or the CA Central Alarm Station
at 294-2300. Do not describe details of the security incident
on the telephone. Do not use e-mail to report security incidents.
An Inquiry Officer (IO) will call you. Provide only your name,
location, and indicate that you want to report a security incident.
*Any deviation
from these established security procedures may result in a security
infraction.
